Handoff Template

A handoff template for Epson installs and demos, so operators leave with the settings, media notes and workflow details they need.

Operator handover for Epson installs

The Handoff Template sets out what the operator should leave with after an Epson demo or installation. It records machine settings, media notes and workflow details so the print room has a clear job sheet from day one.

This template captures the key details handed over after an Epson graphic-arts setup, from media profiles to RIP presets and maintenance points. Teams in Gauteng and Cape Town can use the same sheet to note what was tested on site, which papers or vinyls were loaded, and what output standard the operator approved. It gives the print room a usable record for the first live jobs, not just a memory of the demo.

Record the printer serial number, installed software versions and the exact queue names before the unit starts regular production. Space is included for nozzle check results, head alignment status, cutter settings where relevant, and any media feed adjustments made during setup. A printed copy near the Epson unit helps the next shift repeat the approved settings without guessing.

Details recorded before sign-off

The completed handoff notes who attended training, which print samples were shown, and what colour target was accepted on site. It also lists the substrate used for testing, the profile selected in the RIP, and any operator instructions for loading, cleaning or daily checks. That makes the first reprint far easier when a customer wants the same result again.

Use the template together with job notes and sample labels so every setting from the Epson demonstration can be traced back later. Include the workstation name, driver or RIP loaded, network location if relevant, and any open items that still need approval from the site team. If more information must be sent afterwards, use the contact form and reference the Handoff Template so the record stays linked to the correct installation.

  • Approved media and profile listed
  • Nozzle check and alignment logged
  • Training sign-off captured on site

Site conditions worth noting

A handover sheet should mention the room conditions that may affect print consistency after the Epson unit is left in production. Dust on inland sites, coastal moisture, aircon settings, and the position of media storage can all influence feeding, drying and maintenance intervals. Those notes matter when the same machine is reviewed later in Johannesburg, Ekurhuleni or Cape Town.

Power stability, backup procedures and shutdown instructions should be written down during the visit, especially where loadshedding planning still affects output schedules. Include who is responsible for daily cleans, where consumables are stored, and whether sample packs were left behind for reference. The aim is a complete job handover that a print operator can use on the next shift without chasing missing details.

Operated by Astros Marketing (Pty) Ltd from 2 Makro Place, Sunnyrock 1401.

Template use after demos

Use the handover template to record the Epson unit supplied, software loaded, colour settings agreed, print samples shown and who signed off the training on site.

Complete the handoff while the Epson settings are still on screen and the approved samples are still at the machine. That is the best time to capture queue names, colour settings, media thickness choices and any operator comments from the session. File the sheet with the installation paperwork so production, sales and studio staff are all reading the same record.
